Users & Permissions
Roles, inviting users, profile editing
GPS Leaders CRM supports multiple users with role-based access.
Roles
- ADMIN — Full access. Can invite users, change roles, disable users, manage all settings.
- REP — Standard access. Can use inbox, leads, automations, calendar. Cannot manage other users.
Today Nick is the ADMIN. As the team grows, additional users can be added as REPs (or promoted to ADMIN if they need management access).
Inviting a new user (admin only)
- Visit
/settings/users - Click
+ Invite User - Fill in: email, first name, last name, role (REP by default), optional phone
- Submit
- The form will reveal a temporary password ONCE. Copy it.
- Share the password with the new user manually (Slack, SMS, in-person, etc.)
- The user logs in with their email + temp password
- They should change the password from
/settings/profileon first login
Editing a user (admin only)
From /settings/users, click the pencil icon on any user row to inline-edit their name, role, or active status. Save changes commit immediately.
Disabling a user (admin only)
Disabled users can't log in. Their historical work (leads they created, deals they closed) is preserved.
To disable: click the disable icon on the user row, confirm. To re-enable: scroll to the "Disabled" section, click "Re-enable" on the user row.
Safety rails
The system prevents:
- Disabling your own account (you'd lock yourself out)
- Demoting yourself to REP if you're the LAST admin (org would have no admin)
- Hard-deleting users (we soft-disable to preserve history)
My profile
Click your avatar in the sidebar (bottom-left) → My Profile. From there you can:
- Edit your name, email, phone
- Change your password (requires current password)
- See your role + member-since + last login
Signing out
Avatar popover → Sign out. Clears your session and redirects to /login.
